Vacation Rental Policies

Checking-In: You may check-in any time after 4:00pm. Our office hours are Monday –Friday, 9am-5pm and Saturdays, 10am-4pm. Old Edwards Club at Highlands Cove is located off of HWY 64 between Highlands and Cashiers. Our office is located just before the security gate on the left. Upon your arrival, you will receive two keys, a property information packet, and directions to your vacation rental. If you cannot make the above stated arrival time, please call our office at (828) 526-8128 to make arrangements for a late check-in.

Checking-out: Check-out is at or before 11:00am to prepare the unit for the next tenant.
Tenant should return all furniture and accessories to original locations so that items are not missed while inventorying the property after departure. Tenant should leave beds unmade, run dishes through the dishwasher, clean grill thoroughly if used, discard all leftover, perishable food items and place all trash in proper receptacles. The housekeeper will take care of unloading the dishwasher. Tenant is responsible for ensuring all windows and doors are properly shut and locked, turning off all lights, and setting the A/C to 75 degrees during the summer months and the heat to 55 degrees from October through April. Failure to turn heat to 55 could cause serious damage to the property. Tenant should drop the keys off at our office or in the event that our office is closed, you may leave the keys at the gatehouse of Old Edwards Club at Highlands Cove. There will be a $20 fee for each key that is not returned.

Payments/Advance Rent: All reservations require an advance rent payment of 50% of the rental amount, a reservation fee and applicable taxes in order to secure the reservation. Advance rent & rental agreements will be due within 10 days after you make your reservation unless otherwise stated in your lease agreement. The remaining balance is due 7 days before check in. We currently accept personal or certified checks as well as Visa, MasterCard and Discover.

Sales & Occupancy Tax: Rental and housekeeping fees are subject to state and county taxes as required by law. Taxes are subject to change. Tax rate at time of occupancy will apply to all reservations.

Reservation Fee: Highlands Cove Realty imposes a non-refundable $50 Reservation Fee with every reservation.

Cancellation of Reservation: Please contact our office if you must cancel or change your reservation. We will refund your advance rent only if we are able to re-rent the property for the same time period, and under the same terms & conditions, less a $50.00 cancellation fee. Highlands Cove Realty and/or the Owner cannot be held liable for any acts of nature or occurrences beyond our control and rate adjustments resulting from these circumstances will not be made. We highly recommend that you purchase Travel Insurance through CSA (See Vacation Rental Insurance) so that your reservation will be covered in case of unforeseen qualified conditions.

Security Deposit: Please use your unit with care and treat it as if it were your own. By signing the lease agreement, the tenant agrees to compensate owners for any damages caused to the property during their stay. Should damages exceed the security deposit collected, the tenant will be responsible for the balance due upon repair. The property will be cleaned and inspected upon your departure. If additional cleaning is required in excess of cleaning fee collected, it will be deducted from security deposit. Your security deposit will be refunded within 45 days of your departure. In lieu of a traditional security deposit, you can opt to purchase CSA Security Deposit Protection Insurance for $50.00.

Security Deposit Protection: As part of your stay you may opt to purchase a Security Deposit Protection plan designed to cover unintentional damages to the rental unit interior that occur during your stay. If purchased, the policy will pay a maximum benefit of $3,000.00. Any damages that exceed $3,000.00 will be charged to the tenant and will be due upon repair. If, during your stay at one of our Rental Properties, an Insured Person causes any damage to real or personal property of the unit as a result of inadvertent acts or omissions, the Insurer will reimburse the Insured for the cost of repair or replacement of such property up to a maximum benefit of $3,000.00. Certain terms and conditions apply. Pet damage is not covered by this policy. Full details of the Security Deposit Protection coverage are contained in the Certificate of Insurance or Insurance Policy.

The Security Deposit Protection can be purchased up to, and including at, check-in.

By submitting payment for this plan, you authorize and request CSA Travel Protection and Insurance Services to pay directly Highlands Cove Realty at Old Edwards Club any amount payable under the terms and conditions of the Security Deposit Protection.

If you do not participate in this plan, a Security Deposit will be required.

Vacation Rental Insurance: We highly recommend that you purchase CSA Travel Protection to safeguard against the unexpected. Your vacation investment is protected when you purchase CSA Vacation Rental Insurance, which covers you for trip cancellation, delay, and interruption. Vacation Rental Insurance reimburses for pre-paid, non-refundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses.

Qualifying conditions must be met. Full details of the Vacation Rental Insurance coverage are contained in the Certificate of Insurance or Insurance Policy. Highlands Cove Realty acts as a sales agent for the Vacation Rental Insurance that is administered by CSA. The Tenant, not Agent is responsible for seeking reimbursement by filing a claim with CSA Travel Protection. If you have questions or need to file a claim, please call CSA at (800) 554-9839. If you purchase the CSA Vacation Rental Insurance, the premium will be due with your first initial deposit/advance rent payment.

Maintenance: Please report any problems with the unit or any equipment in the unit to our office. We will make every effort to ensure repairs & maintenance are handled promptly. No refunds will be made due to temporary malfunction of equipment.

Smoking Policy: Smoking is strictly prohibited inside all of our rental properties. You are welcome to smoke outside, but please make sure you dispose of cigarette butts appropriately. If any evidence of smoking in the unit is found, you will be charged additional fees for carpet cleaning and deodorizing of the property.

Pets: Some of our properties allow pets with an additional non-refundable pet fee. Pet fees vary depending on length of stay, and size of pet. If you bring a pet into your vacation rental and it has not been previously agreed to in writing by form of the leasing agreement, you will be asked to leave without refund. Tenant is fully responsible for any and all damage to the property by any pet including but not limited to the cost of replacing any damaged flooring, interior or exterior surfaces, furnishings, screens or outdoor areas. All pets must be on a leash when walking outside. Tenant shall be responsible for cleaning up after their pet anywhere on property. Pet waste shall be bagged and disposed of in appropriate trash receptacles.

Association Rules & Regulations: All reservations are confirmed with the understanding that the Tenant and Tenant’s guests will abide by all rules & regulations as imposed by the Property Owners’ and/or Condominium Associations.

Occupancy Limit: A maximum number of guests has been established for each rental property. You should not permit the property you rent to be occupied by more people than stated in guidelines for that property. In most cases, two people per bedroom is allowed. Misrepresentation or exceeding the maximum number of occupants will result in guests being asked to vacate immediately without refund.

Liability: It is expressly understood and agreed that the owner of said premises and Highlands Cove Realty at Old Edwards Club, shall not be liable for any damages or any injury to tenant, tenant’s guests or his family or to his family’s or guest’s property from whatever cause arising from occupancy of said premises by tenant and his family and guests.

Highlands Cove Realty shall not be responsible for any personal property left by tenant in said
premises. In the event property of tenant is left on premises, tenant may request owner or owner’s agent to mail or ship property back to tenant at tenant’s sole expense.

Agency Disclosure: In Accordance with the National Association of Realtors, Highlands Cove Realty has a contractual relationship with the Owner of each property. We pledge ourselves to protect and promote the best interests of the owner at all times and to treat all parties including both owners and tenants fairly and honestly.

Properties Listed For Sale: In the event that you rent a property that is listed for sale, tenant agrees to allow the property to be shown by appointment. This policy will not be abused and no agent shall enter the premises without first notifying the tenant of the scheduled appointment. If the property sells prior to tenant occupancy, Agent will advise Tenant of the transfer of property.

Satellite/Cable/Internet: All of our rentals offer satellite or cable service & most offer wireless internet. Please be sure to ask whether your rental property has internet service if this is of importance to you before signing the leasing agreement. You can find instructions on how to use the satellite & internet in the handbook located in each rental. Do not attempt to dial up to an internet provider as this can cause astronomical long distance charges that may be passed along to the Tenant.

Telephone: All properties have telephone service, but have a long distance block. You must use a calling card, cell phone or make collect calls. You may also call our office to try and arrange to add unlimited long distance to the phone service. This option is limited only to reservations of one month or longer. Additional fees will apply.

Linens & Supplies: Two sets of linens per bed are furnished with each rental. All properties are equipped with a supply of paper towels, toilet paper, soaps, and cleaning supplies to get you started. Any additional supplies that you need during your stay will be your responsibility to purchase.

Grilling: : You are welcome to use a propane grill if one is provided with your rental unit. Please ask rental office for details on which properties allow grills. If your rental property supplies a grill, you must use the grill in its current location, do not attempt to move grill to another deck. An additional tank of propane will be located in the storage closet outside (cottages & condo’s) or in the laundry room (homes) in case you run out. Please notify our office if you use the back-up tank so that we can make arrangements to get the empty tank refilled for the next tenant. Please leave the grill clean upon your
departure. If the grill is used and not cleaned, a $25 fee will be deducted from your security deposit.

Access to Old Edwards Club: Your reservation does not expressly give you access to the Old Edwards Club amenities. The owner of the property must be a member of the club in order for a temporary membership to be available for you to purchase. A Temporary Membership application must also be completed and a membership fee paid to rental office prior to usage of club amenities. As a temporary member, you will have access to the on-site amenities including the golf course, newly renovated dining solarium, fitness center, tennis courts, and outdoor heated mineral pool. Greens fees will apply.

Housekeeping: Your vacation home will be cleaned prior to your arrival and after your departure. Upon your departure, please try to leave the home in the same condition it was in when you arrived. If property is left unusually messy or damaged (such as unwashed dishes, grill not cleaned, garbage left in the house or stains on carpet or furniture), additional cleaning fees may be deducted from your security deposit.

Garbage/Trash: Please be sure to place all trash in proper receptacles located near your rental unit. Some properties have an outside storage closet, while others offer a community dumpster. All trash should be properly bagged prior to disposal.

Owner Closets: All units have one or more closets that are reserved for the storage of the property owners personal items. These closets are locked and are not included with rental.

Lock Outs: If you are locked out of your home, you may borrow a key during office hours from Highlands Cove Realty. If you need after hours assistance, please call our after-hours telephone number listed in your check-in package.

Mail Service: Please contact the Highlands Post Office to set up your mail service if you are planning an extended stay. The Highlands Post Office can be reached at (828) 526-2667.

Good Neighbor Policy: Many of our rental properties are located in neighborhoods that include both vacationers and property owners. Please abide by all noise & traffic rules and respect the rights and space of nearby homeowners and other vacationers. Please make sure you use parking spaces designated to your rental. If you have guests, please make sure they park in appropriate spaces. Our community is growing and therefore you may experience construction activity near your vacation home. We cannot guarantee limited noise from other persons or neighboring properties and rate adjustments resulting from these circumstances cannot be granted as this falls outside the realm of our control.
